Job Description

Communication and Works Department Government of the Punjab is inviting applications for the position of Senior Documentation Assistant under the Strategic Planning Unit SPU. The role focuses on document control and administrative support including managing records organizing documentation and supporting teams through accurate reporting and structured document management practices.

Responsibilities

Maintain and oversee document management systems and ensure consistency.

Organize and archive files/documents, ensuring accuracy, security, and accessibility.

Prepare, edit, proofread, and format various types of documents including reports, manuals, and presentations.

Train and mentor junior document staff in standard operating procedures and document control protocols.

Liaise with senior managers and department heads to gather, distribute, and finalize project documentation.

Maintain confidentiality and data protection at all times.

Understand the departmental / administration procedure of the SPU

Maintaining agendas and planning appointments board meeting conference for S.D.O and other senior officers.

Handle and prioritize all outing and incoming correspondence.

Manage and update the documents/files in the most official way with the help of documentation assistance .

Maintain a track record of everything which is easily traceable by the authorize personal.

Maintain the co-ordination of higher staff with lower staff.

To get the work done from the lower staff.

To monetize the lower staff and efficiency of lower staff and report to S.D.O SPU in case of any in efficiency .

Perform any other work assigned by the management.

Any other duties assigned by the management.

Requirements

Minimum 16 years education in one of the following areas Civil Engineering, Electrical Engineering, Mechanical Engineering, Engineering Technology, Business Administration, Library Science, Records Management, or a related field

3 to 5 years experience in document control or administration

Experience with electronic document management systems preferred

Prior experience in a supervisory or senior assistant role is an advantage

Excellent organizational and time management skills

Strong attention to detail and accuracy

Proficiency in Microsoft Office including Word Excel PowerPoint and Outlook

Good written and verbal communication skills

Ability to work independently and as part of a team
